The situation
Meet Dan, an illustrative example: he runs a three-person plumbing and heating firm, and enquiries by phone and WhatsApp often go cold while the team's on a job. See why trades businesses lose leads this way, and the fix for the full picture. This example picks up from there and covers the fuller project: catching every enquiry, keeping jobs organised, and getting invoices paid without chasing them by hand.
What we'd set up
- Google Business Profile setup, so the firm actually shows up on Google Maps when someone nearby searches "emergency plumber" or "plumber in [town]", rather than relying purely on word of mouth.
- An enquiry form that asks the right questions (what's wrong, how urgent, rough location) and lands directly in one place instead of a shared inbox.
- A CRM pipeline, so every enquiry is visible to the whole team, with an automatic reminder if nobody's called the customer back within a few hours.
- Booking confirmations and reminders, so a confirmed job sends an automatic text or email reminder the day before, cutting down the chance of a wasted trip.
- Quote and invoice automation in Xero or QuickBooks, so invoices go out as soon as a job's marked complete, and a polite reminder follows automatically if payment's late.
How the project would run
Week 1: a free call to map out where enquiries actually come from today, followed by the Google Business Profile setup and a rebuilt enquiry form that feeds straight into a new CRM pipeline.
Week 2: the CRM pipeline goes live, with each enquiry assigned a status and an automatic callback reminder. Booking confirmations and reminders are built and tested against real job types, from a dripping tap to a boiler call-out.
Week 3: quote and invoice automation is set up and connected to Xero or QuickBooks, so a completed job can be invoiced in a couple of clicks and chased automatically if it runs late.
Week 4: everything runs alongside the old whiteboard-and-notebook approach for a short overlap, so the team can see it working before switching over fully, followed by a short training session and a written guide to the whole setup.
What changes day to day
An enquiry that used to sit in a Facebook inbox overnight now lands in a pipeline the whole team can see, with a reminder if it's gone unanswered for too long. A customer gets a text the day before their appointment instead of hoping they remembered. A finished job gets invoiced from a phone before the van's even left the driveway, rather than waiting for an evening at the kitchen table. If an invoice runs over, a reminder goes out automatically rather than depending on someone noticing weeks later. None of the actual plumbing changes. What changes is how much falls through the gaps between jobs.
What you get back
The evening spent chasing enquiries that came in by phone or WhatsApp stops being something Dan has to remember, because each one lands in a pipeline that nags the team if it's gone quiet too long. Writing quotes from memory late at night turns into a quick check and send during the day. Invoicing stops waiting for a spare half hour, because a finished job gets billed on the spot, and chasing an overdue payment stops depending on someone remembering to do it, because the reminder goes out on its own.

Tools involved
A typical build like this sits on top of tools Dan's firm might already use, such as Tradify, ServiceM8 or Jobber for job management, Xero or QuickBooks for invoicing, and a straightforward CRM such as Pipedrive or HubSpot for the enquiry pipeline. Reminders can go out by email or SMS depending on what Dan's customers respond to best. Nothing here requires replacing software that's already working well.
