Missed calls costing your trade business jobs? Here's how to fix it.

A missed call doesn't feel like a lost job at the time. It feels like a normal Tuesday, elbow-deep in a job, right up until you realise how many Tuesdays that's been.

What this looks like in a trade business

The phone rings while you're under a sink, up a ladder or driving between two jobs with no signal. You can't answer, and by the time there's a gap to call back, the customer's already booked whoever picked up first. It isn't one huge dramatic loss. It's one job, except it happens most weeks, and most weeks adds up to a fair amount of work going to somebody else who simply answered faster.

The enquiry rarely arrives by phone alone either. A lead comes in through Checkatrade or MyBuilder with its own messaging inbox, another through a Facebook message, a third through a tired contact form that lands in an inbox nobody checks until the evening, and a fourth as a voicemail from a number you don't recognise. Each channel has its own notification, its own login, and its own way of getting forgotten between the yard, the van cab and the kitchen table at the end of the day.

The enquiry sources nobody's watching in the same place

Lead platforms are worth having, but they add to the problem as much as they solve it. A Checkatrade or MyBuilder lead that doesn't get a reply within an hour or two usually gets claimed by a competitor on the same platform, because the homeowner can see several trades responding in real time. That's a different, faster clock than a customer who rang your mobile directly and will wait a bit longer out of basic politeness. Treating every enquiry the same, when they arrive on different timers, is part of why some get missed.

How a lead arrives Vetted members matched to a posted job Trades quote against each other on a specific job post
How fast you need to reply Within the hour where possible, the homeowner can see other replies Just as fast, the homeowner typically compares quotes side by side

A lead on either platform runs on a faster, more visible clock than a direct call, which is exactly what our comparison of Checkatrade and MyBuilder leads sets out to fix.

Meet Dan

Dan runs a plumbing and heating firm with two vans. Calls come in constantly while the team's on jobs, and he also takes the odd emergency callout out of hours, where a slow reply genuinely costs the job to whoever's awake and nearby. He knows some enquiries never get a callback at all. He just doesn't know how many.

"I write quotes at ten at night because that's the first quiet moment I've had. By then, some customers have already gone with someone else."

Dan is an illustrative example, a composite of the trade businesses we talk to, not a real client.

Why the tools already in the van don't close this gap

Tradify, ServiceM8 and Jobber are genuinely good at running a job once it exists: scheduling the crew, holding the job sheet, tracking materials, raising the invoice. What they're not built for is the moment before that, when an enquiry is still just a message sitting in a lead platform's inbox, a text, or a missed call in a phone log. A missed call stays a missed call until a human decides to act on it. Without something watching that gap, the job-management software you already pay for never gets the chance to do its job.

How we'd fix it

  1. Missed call text-back: a dedicated tracking number that forwards straight to a mobile and, when a call's missed, automatically texts the caller to say you've seen it and will ring back by a set time. It costs the customer nothing and buys you the hour you actually need, and most callers who reach voicemail instead hang up without leaving a message, a figure widely cited around 80-85% in industry research, so a missed call that goes to voicemail is usually a missed call that simply disappears.
  2. An enquiry pipeline with stages built around a trade's actual flow, not a generic sales funnel: new enquiry, site visit needed, quoted, waiting on customer, booked into the diary, job done, invoiced. Anyone in the firm can see at a glance what's stuck.
  3. A CRM set up around how you actually work, pulling phone, Facebook, web form and lead-platform enquiries into one place, so Checkatrade and MyBuilder leads sit in the same pipeline as everyone else rather than their own separate inbox.
  4. A connection through to Tradify, ServiceM8 or whichever job-management tool you already run, so a won enquiry becomes a scheduled job without typing the customer's details in twice.
  5. A simple automatic reminder when a lead's gone quiet for a day or two, so a follow-up happens on schedule instead of whenever someone remembers, with WhatsApp Business templates ready for the quick "got your message, I'll call by 5" reply that buys time without feeling like a brush-off.

What it costs and how long it takes

An enquiry pipeline with automatic follow-up reminders is a guide price from £400 and typically takes one to two weeks. A full CRM set up around your process, pulling in every channel including lead platforms, starts from £900, with importing your existing contacts and job history from £300 on top if you're moving off spreadsheets or a notebook. A single automated reminder workflow on its own, if that's all you need for now, starts from £350. All of these are guide prices for a typical project, with the fixed quote following a free 30-minute call once we know your setup.

The trade-offs worth knowing

This fixes the gap between an enquiry landing and someone acting on it. It doesn't fix a crew that's simply too busy to take on more work, and it won't make a lead platform's per-lead charges disappear, you still pay Checkatrade or MyBuilder for the introduction whether or not you win the job. It also only works if the team actually uses it: a pipeline nobody updates is no better than the notebook it replaced, which is why we build it around stages you'd use anyway rather than ones that look good in a demo.

What you get back

A customer who calls while you're on a job still gets a same-day callback, because the enquiry didn't get lost in the gap between jobs, and leads from Checkatrade or MyBuilder get the fast reply that platform actually rewards.

Frequently asked questions

Do I really need a CRM, or will writing missed calls down work?

At very low volumes, a disciplined notebook can just about work. Once you're missing more than the occasional call a week, an automatic reminder is noticeably more reliable than anyone's memory, however good.

How quickly should I be calling someone back?

As close to the same working day as you realistically can. A customer comparing two or three trades will often just go with whoever rings back first, and on platforms like Checkatrade that gap is visible to the customer in real time.

Will this replace the way my team already takes calls?

No, it fits around it. The point is making sure nothing gets lost after the call, not changing how the phone gets answered.

Do Checkatrade and MyBuilder leads need different handling to a direct call?

They need the same speed, if not more. Those platforms let a customer see several trades responding at once, so a lead that sits unanswered for half a day is usually already gone. Pulling those leads into the same pipeline as everything else stops them getting a slower response just because they arrived somewhere less visible.

What happens to emergency or out-of-hours callouts?

They stay a phone call, because that's genuinely the right channel for something urgent. The pipeline and reminders are there for the enquiries that aren't urgent enough to interrupt a job, which is most of them, so the two systems work alongside each other rather than replacing judgement calls on a burst pipe at 11pm.
