The problem

Admin eating your evenings and weekends? Here's the way out.

You didn't start this business to spend your evenings on paperwork. Most of what's eating your time can run itself, once it's set up properly.

Why it happens

Admin doesn't usually pile up because you're disorganised. It piles up because the business grew, and the admin never caught up.

The same information gets typed out more than once

A customer's details get typed into a website form, then a spreadsheet, then an invoice, then possibly a CRM, by hand, every time. Each retype is a few minutes, and a few minutes repeated across every customer, every week, becomes hours nobody budgeted for.

Paperwork gets built from scratch each time

Quotes, contracts, job sheets and reports are often rewritten fresh for every customer, even though most of the information (your rates, your terms, your standard wording) is the same every time.

There's no time left to fix the process itself

Everyone's too busy doing the admin to stop and set up something better, which is exactly how a ten-minute task stays a ten-minute task for years instead of becoming a thirty-second one.

"Automation" sounds like one more thing to learn

Zapier, Make and similar tools genuinely can feel like extra software to master on top of an already full week, so the admin that could be automated in a weekend quietly stays manual for years.

What fixing it looks like

The aim isn't to automate everything at once. It's finding the two or three tasks eating most of your week and fixing just those.

A single workflow automated end to end, such as a website enquiry landing straight into a spreadsheet and triggering an email, is often the fastest win: one repetitive job, done properly, rather than half-working across three different apps.

Document and form automation generates contracts, job sheets and reports straight from information you already hold, instead of being typed out fresh for every customer.

Quote and invoice automation raises and chases paperwork automatically through the accounting software you already use, so the financial admin stops depending on you remembering.

If customer records are part of the mess, a CRM set up around your real process gives every piece of admin one home, instead of scattering it across spreadsheets, inboxes and notebooks.

When it's worth getting help, plus what it typically costs

If tracking your time confirms what you suspected, that admin is eating hours you'd rather spend on customers or the work itself, a focused automation project usually pays for itself within a few months. A single automated workflow starts from £350. Document and form automation starts from £500. Quote and invoice automation through Xero or QuickBooks starts from £750. These are guide prices for typical projects; the fixed quote comes after a free 30-minute call. See pricing for the full list.

What you can do this week yourself

  • Track where your week actually goes for just two or three days. Most people are surprised which single task is the real time sink.
  • Build one template for whatever document you retype most often: a quote, a job sheet, a standard email reply.
  • Turn on recurring invoices or reminders if your accounting software already supports them and you've never switched it on.
  • Stop typing the same detail twice. If a customer's details go into a form and then get retyped into another system, check whether that form can export or connect directly.
  • Pick the one task you dread most. That's usually the best place to start, not the task that's technically easiest to automate.
  • Write down your current process for that one task, step by step. It's the first thing we'd ask for anyway, and it often reveals the fix on its own.

Frequently asked questions

What's the easiest admin task to automate first?

Usually whatever you dread most: retyping enquiry details, chasing invoices, or writing the same document from scratch. Start with one task done properly rather than trying to fix everything at once. Our guide to admin tasks worth automating has ten common starting points.

Will automation replace the need for staff?

Not usually, for a small business. The aim is removing the repetitive, low-value parts of admin so you and your team spend time on customers and the work itself, not replacing people.

How much time does automating admin actually save?

It depends entirely on the task, but the tasks worth automating are usually the ones already costing several hours a week, so the saving tends to be noticeable rather than marginal.

Do I need to replace my current software to automate admin?

Rarely. Most automation connects the tools you already use (Xero, QuickBooks, Microsoft 365, Google Workspace) rather than replacing them, so there's less to learn, not more.

What happens if an automated process breaks or needs to change?

We document exactly how each automation works, so if something changes, such as a tool updating its interface, it can be fixed quickly rather than becoming a mystery.
