Karbon vs Xero Practice Manager, and Dext vs Hubdoc, for a small practice

Most comparisons of practice software are written for firms ten times your size. Here's what actually matters for a practice under ten people.

4 min readPublished By the Up2Digital team

The short answer

Karbon and Xero Practice Manager both track client work, but they're built for different problems. Xero Practice Manager fits a practice that's already fully in Xero and wants job tracking, timesheets and billing without adding another system. Karbon is built around workflow and email, useful if your real pain is "where did that client email go" more than "how do I bill this job." Dext and Hubdoc both capture receipts and invoices into structured data, and the two have moved much closer together, so which one you use usually comes down to what's already included in your Xero subscription rather than a genuine feature gap.

Why most comparisons don't fit a small practice

Search for practice management software and you'll find listicles built for firms with dozens of staff, comparing enterprise feature lists that a two to ten person practice will never touch: resource planning across departments, multi-office reporting, elaborate approval chains. None of that is wrong, it's just aimed at a different reader. What a small practice actually needs is simpler: everyone can see where every client's work stands, nothing gets retyped between systems that should talk to each other, and the software doesn't take longer to learn than the admin it's replacing.

Karbon vs Xero Practice Manager

Xero Practice Manager is Xero's own practice management product. It covers job tracking, timesheets, billing and client records, and because it's built by Xero, it sits naturally alongside your existing Xero ledgers without a separate integration to maintain. It's a sensible default if your practice is already Xero-first and you want one less system to manage, rather than one more.

Karbon is built around unifying client work, team communication and workflow in one place, including an inbox that connects correspondence directly to a client's job rather than leaving it to live in a separate mailbox. It also offers client portals and document management on top of the workflow side. That makes it a stronger fit if your practice runs on more than one accounting platform, or if the actual pain is email and task coordination between a small team rather than billing itself.

Neither is free, and current plans and pricing are worth checking directly on each vendor's own site before you commit, since both change their packaging from time to time.

Dext vs Hubdoc: does it matter which?

Both Dext and Hubdoc extract data from receipts, invoices and statements so it arrives in your accounting software already structured, instead of being typed in by hand from a photo or a PDF. Dext is the more fully featured of the two as a standalone product. Hubdoc has increasingly been folded into Xero itself, often appearing under Xero's own "Smart Document Capture" feature name and included at no extra cost on Xero's small business plans.

For a lot of small practices already on Xero, that makes the honest answer "you may already have it, check before buying something else." Dext is worth the extra cost where you want its fuller feature set, work across more than one accounting platform, or process a high volume of documents and want more control over the workflow. As with any subscription software, check current plans and what's included directly on Xero's and Dext's own pricing pages before deciding, since bundling like this does change.

What "integrates with Xero" actually gets you

"Integrates with Xero" gets said about almost everything, and it means very different things in practice. At its weakest, it means you can export a file from one system and import it into another by hand, which barely counts. At its best, it means client records, job status and billing data move automatically in both directions, so nobody retypes a client's details into a second system once they're already in the first. Before choosing based on that one word, ask the vendor exactly what syncs automatically, what still needs a manual step, and how a change in one system shows up in the other. If several of your tools need to share data reliably and none of their native integrations quite does it, that's usually a short, scoped piece of connection work rather than a reason to abandon tools you otherwise like.

A simple decision table by practice type

Your situation Likely fit Why
Fully Xero-based, want one less system Xero Practice Manager Native fit, no separate integration to maintain
Work across Xero and other platforms, team coordination is the real pain Karbon Workflow and email built in, platform-agnostic
Already on Xero, just need receipts captured Check Xero's own document capture first Often already included, worth confirming before paying for Dext separately
High document volume, want more control over capture Dext Fuller standalone feature set

When to get help, and what we'd do

Picking the tool is the easy half. The part that actually saves you time is setting it up around your real onboarding stages, identity check, engagement letter, information requested, information received, rather than leaving the software on its generic defaults. That's our crm-setup work: practice software set up to match how your practice actually onboards a client, not a template everyone ignores within a month. Where two or more of these tools need to share data reliably and their built-in integrations don't quite stretch that far, our auto-integration work connects them properly, scoped after a quick look at what you're actually running. For the fuller picture of why this matters, see our guide to admin eating your evenings and how to automate client onboarding.

Frequently asked questions

Do I need both Karbon and Xero Practice Manager?

Rarely. They solve a similar underlying problem in different ways, so most small practices pick one rather than running both. If you're fully in Xero already, that's usually the simpler starting point; if email and cross-platform workflow are the bigger pain, Karbon tends to be the better fit.

Is Hubdoc still worth setting up separately from Dext?

For many practices already on Xero, document capture is now built in under Xero's own feature name at no extra cost, so it's worth checking what you already have before paying for a separate tool. Dext earns its cost where you want its fuller standalone features or process a high volume of documents.

How long does switching practice management software actually take?

It depends mainly on how much client history needs moving across, rather than the software itself. A straightforward setup for a small practice typically takes a few weeks, including time to get the team comfortable with the new day-to-day process.

Will my team need much training?

Usually not much, if the system is set up around how you already work rather than left on its defaults. A short session and a written guide covering your actual onboarding stages tends to be enough for a small team.

Does this replace the need for a CRM for sales and leads?

No. Practice management software like Karbon or Xero Practice Manager tracks client work once someone is a client. Tracking proposals and enquiries before they've signed up is a different job, covered in our guide to choosing a CRM for a small business.
